Confidentiality Policy
Policy Statement
The International Journal of Environmental and Agriculture Research (IJOEAR) maintains strict confidentiality throughout the manuscript submission, peer review, and publication process. All parties involved—authors, reviewers, editors, and publisher staff—are bound by confidentiality obligations to protect unpublished research, reviewer identities, and privileged communications.
Scope of Confidentiality
Confidentiality applies to the following materials and information throughout the editorial process:
Manuscript Content
Full text, figures, tables, supplementary materials, and any associated data submitted to IJOEAR.
Reviewer Comments
All reviewer reports, confidential comments to editors, and reviewer identities (under double-blind review).
Editorial Communications
Correspondence between authors, reviewers, editors, and publisher regarding manuscript status and decisions.
Decision Information
Editorial decisions, internal notes, and evaluation records prior to public announcement.
Duration of Confidentiality: Confidentiality obligations begin upon submission and continue indefinitely, even after publication or rejection. Some materials (e.g., reviewer identities) remain confidential permanently.
Reviewer Confidentiality Obligations
Reviewers serve as trusted guardians of scholarly integrity and must adhere to these confidentiality requirements:
Manuscript Confidentiality
Reviewers must not share, copy, or distribute manuscripts to any third party. Manuscripts are provided solely for evaluation purposes.
No AI Tool Uploads
Reviewers must not upload manuscripts to any AI tool (ChatGPT, Claude, Grammarly cloud, etc.). This violates confidentiality. Refer to AI Policy.
Anonymity Preservation
Under IJOEAR's double-blind peer review, reviewers must not reveal their identity to authors. All communications go through the editorial office.
Secure Handling
Reviewers must ensure manuscripts are stored and accessed only on secure, password-protected devices. Delete manuscripts after review completion.
Prohibited Actions
Reviewers must NOT: discuss manuscripts with colleagues (unless explicitly invited as co-reviewers), use manuscripts for their own research, cite unpublished manuscripts, or share review assignments publicly.
Editor Confidentiality Obligations
Editors (including Editor-in-Chief, Associate Editors, and Editorial Board members) must adhere to these confidentiality standards:
| Obligation | Description |
|---|---|
| Limited Access | Editors access manuscripts and reviews only as needed for editorial decisions. Unnecessary access is prohibited. |
| Reviewer Identity Protection | Editors protect reviewer anonymity and do not disclose reviewer identities to authors or third parties without reviewer consent. |
| Decision Confidentiality | Editorial decisions are confidential until formally communicated to authors. No premature disclosure. |
| Recusal Requirement | Editors with conflicts of interest (personal, professional, or financial) must recuse themselves and assign alternate editors. |
Editorial Staff Training: All editors and editorial staff receive annual training on confidentiality policies and data protection practices.
Publisher Confidentiality
AD Publications (publisher of IJOEAR) maintains the following confidentiality practices:
Secure Systems
All manuscript data stored on encrypted, access-controlled servers with regular security audits.
Access Controls
Role-based access ensures only authorized personnel view confidential materials.
Staff Agreements
All publisher staff sign confidentiality agreements as condition of employment.
Confidentiality Breaches
The following actions constitute confidentiality breaches and will result in serious consequences:
| Breach Type | Consequences |
|---|---|
| Sharing manuscript with non-authorized parties | Immediate manuscript rejection; 1-year publication ban |
| Uploading manuscript to public AI tools | Immediate manuscript rejection; 2-year publication ban; reported to COPE |

| Premature disclosure of editorial decision | Revocation of editorial privileges; formal warning |
